Job Description

  • Maintains a comprehensive calendar file to ensure required reports are properly prepared and submitted on a timely basis.Distributes incoming/outgoing mail; gathers reference materials and assists in preparation of supportive documents.

  • Answers correspondence and composes memoranda, speeches and letters from verbal outline or stored examples.

  • Answers and screens incoming telephone calls.

  • Manage calendar to include scheduling for maximum productivity for department to include vacation schedules.

  • Meets the attendance guidelines of the job and adheres to regulatory, departmental and company policies.

  • Effective problem solving skills to include the ability to collaborate with others.

  • Review and prioritize email communications.

  • Coordinate travel needs for the department.

  • Manage administrative paperwork flow for the department to include HR administrative needs.

  • Track and prepare all purchase orders.

  • Track performance reviews.

  • Decorating for holidays

  • Coordinate the department orientation of new employees.

Job Requirement

  • Vocational School Certificate is required.

  • Previous administrative assistant experience preferred.

  • Must be extremely computer savvy to include typing at least 60 wpm.

  • Must have the proven ability when working with confidential information.

  • Must be able to write legibly, complete detailed paperwork and use a computer for extended periods of time.

  • Must be organized.

  • Previous hospitality experience preferred.

  • Microsoft Office knowledge required.

  • Must present a well-groomed appearance.

  • Ability to communicate fluently in the local language of the workplace both verbally and nonverbally.Bi-lingual is encouraged.

  • Capacity to foster productive relations with peers and assure teamwork is the prevailing way to do business.

  • Excellent guest service skills. Ability to respond to handle difficult or stressful situations with tact and diplomacy.
